Privacy Policy
Effective date: October 15, 2026 · Last updated: October 15, 2026
1. Introduction
This Privacy Policy explains how Apartment Locator Texas collects, uses, shares and protects personal information through the website at https://apartmentlocatortexas.com (the "Website") and our apartment locating services. The Website and services are operated by Raul Medina, a real estate agent who provides apartment locating services through the real estate brokerage United Realty Group of Texas ("we," "us," or "our"). This policy takes effect on October 15, 2026.
2. Information we collect
Information you give us
- Apartment search form (our home page): your first and last name, email address and phone number; the apartment size you want; your maximum monthly budget; your desired move-in date; the part of town you prefer; how you heard about us; why you would like to work with a locator; and your consent to be contacted. If you start from an apartment deal, we also record which deal you selected. If you arrive through a particular locator's link, we record which locator.
- Map area search: the area you draw on the map, your budget and move-in date, your name, email address and phone number, and your consent to be contacted.
- Call scheduling: your name, phone number and email address, the call time you choose, and, if you enter it, who referred you.
- Apartment lists: when a locator sends you a list of apartments, which apartments you mark as interesting or not.
- Property partner form (for property managers): your property's name, address and details, and your business contact information.
- Information you share while we help you: details you choose to give your locator, for example by phone or email, such as household size, pets, income, credit range or rental history, and notes from those conversations.
Information collected automatically
- IP address: we use your IP address to limit repeated form submissions and sign-in attempts and to protect the Website from abuse.
- Server logs: our hosting provider may record technical information about requests to the Website, such as IP address, browser and device type and the pages requested, under its own practices.
- Browser storage: the Website stores small preferences in your own browser, such as your language choice and whether you closed the welcome message on the deals page. See Cookies and analytics.
We do not use analytics services, advertising networks, tracking pixels or advertising cookies on the Website.
Information about our team
For our staff and locators who sign in to our internal tools, we keep account details (name, username or email, and a hashed password), records of actions taken in the tools, and, if a locator connects their own email account to send messages, the settings needed to send from that account.
Connected TikTok accounts
Our planned TikTok integration is not yet available, and we do not currently collect any TikTok account information. Section 4 explains what it will collect once it is offered. The integration is for our own team's marketing accounts; it does not collect information about renters who use the Website.
3. How we use information
- to respond to your apartment inquiry and provide apartment locating help;
- to contact you by phone and email about your apartment search, as you agreed when you submitted a form;
- to match you with apartments that fit your needs and send you lists of options;
- to register you with apartment communities you are interested in, as described in Information sharing;
- to keep records of referrals, referral fees and commissions;
- to review property partner submissions;
- to prepare and manage marketing content about apartment communities;
- to operate the TikTok publishing feature, once it is available, for the team members who connect an account;
- to send marketing emails where the law allows; every marketing email includes a link to unsubscribe;
- to keep the Website and our tools secure and prevent abuse; and
- to maintain and improve the Website.
4. TikTok API and account authorization
Not yet available. This section describes how the TikTok integration will handle information once it is offered. Until then, no TikTok account can be connected and we hold no TikTok account information. We will update this section if anything differs.
- Who uses it: authorized members of our team, to send marketing posts to their own TikTok accounts. It is not offered to the public.
- How accounts are connected: through TikTok's official sign-in and authorization page. We never see or store your TikTok password.
- Permissions we will request: only basic profile information (to show which account is connected) and permission to send content to the account's TikTok inbox as a draft. We will not request permission to post directly to a profile or to read private messages, followers or analytics.
- Information we will store: the account's TikTok identifier, display name and profile picture; the access and refresh tokens TikTok issues; the permissions granted; and, for each item sent, the photos, title and caption the user chose, when it was sent, and the status TikTok reports.
- How it is used: only to send the photos, title and caption that the user selects and approves. Nothing is sent without the user's approval of that specific post, and the user decides in the TikTok app whether to publish it. To send photos, we place them at a link on our website from which TikTok retrieves them.
- Disconnecting: you can disconnect at any time in our tool, or by removing our app's access in your TikTok account settings. When you disconnect in our tool, we delete the stored access and refresh tokens and the connected account's profile information. A record of items already sent (what was sent and when) is kept as part of our business records unless you ask us to delete it.
- Deletion requests: you can ask us to delete information associated with your connected TikTok account using the contact details in section 13.
5. Information sharing
We share personal information only as described here:
- Apartment communities and leasing offices. To register you as our referral at a community you are interested in, we send that community your name, contact information, desired move-in date and apartment preferences. Communities use this to contact you and to credit us with the referral. Participating communities pay us a referral fee when someone we refer leases with them.
- Our brokerage and locators. Your request is shared with the locator assigned to help you and with United Realty Group of Texas, the brokerage through which our locators work.
- Service providers that operate the Website and our tools for us, including our website hosting and database provider and our email delivery provider. When you load our pages, your browser also contacts Google Fonts, unpkg (which delivers our map software), Esri and OpenStreetMap (which provide map images); these services receive your IP address and browser information under their own policies.
- Google and TikTok. Our team uses Google services to store and organize marketing content such as apartment photos. Once the TikTok integration is available, the photos, titles and captions our team chooses to send will be shared with TikTok. This marketing content is about apartment communities, not about renters.
- Legal and safety reasons. We may disclose information when required by law, to respond to legal process, or to protect the rights, property or safety of others or ourselves.
- Business changes. If our business or the brokerage relationship changes, client records may be transferred as part of that change, subject to this policy.
6. Data security
We use reasonable administrative and technical measures to protect personal information, including:
- the Website requires secure HTTPS connections;
- staff passwords are stored as one-way hashes, not in readable form;
- staff sign-in sessions use secure cookies and expire after 8 hours;
- access is limited by role, so a locator can see only the clients assigned to them;
- actions in our internal tools are recorded in an audit log;
- form submissions and sign-in attempts are rate limited; and
- email account passwords that locators save for sending messages are stored encrypted.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data retention
- Client and inquiry records are kept while we help you, and afterward for as long as needed to keep referral, commission and brokerage records and to meet legal obligations. We do not currently delete client records automatically on a fixed schedule; you can ask us to delete yours (see your choices and rights), subject to records we must keep.
- IP address records used to prevent abuse are deleted automatically, generally within about an hour.
- Unsubscribe requests are kept so that we continue to honor them.
- TikTok connections (once available): tokens and profile information are deleted when the account is disconnected; records of items already sent are kept as described in section 4.
8. Cookies and analytics
- We do not use analytics, advertising or tracking cookies.
- The only cookie we set is a sign-in cookie for our staff when they use our internal tools. Visitors who only use the public Website do not need it.
- The Website saves a few preferences in your browser's local storage (your language choice and whether you dismissed the deals page welcome message). These stay on your device and are not sent to us. You can clear them at any time in your browser settings.
- The outside services listed in section 5 (fonts and maps) may set or read their own cookies or identifiers under their own policies. You can block or delete cookies in your browser settings; the Website's public pages work without cookies.
9. Your choices and rights
- Marketing emails: use the unsubscribe link in any marketing email to stop receiving them.
- Calls and emails about your search: tell your locator or contact us to withdraw your consent.
- Access, correction and deletion: you can ask to see the personal information we hold about you, correct it, or delete it.
Depending on where you live and which laws apply to us, you may have additional rights. To make a request, contact us as described in section 13. We may need to verify your identity before acting on a request. Some information may be kept where the law requires or permits, for example referral and commission records or information needed to resolve disputes.
10. Children's privacy
Our services are for adults looking to rent an apartment and are not intended for anyone under 18. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, please contact us and we will delete it.
11. Third-party websites
The Website may link to other websites, such as apartment community websites, TikTok and Google. Those websites have their own privacy practices, which may differ from ours. We encourage you to read their privacy policies.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and change the "Last updated" date at the top. If we make a material change to how we use or share personal information, we will give additional notice where the law requires it, for example on the Website or by email.
